Data deletion requests.

The permanent reference page for deletion and account requests across all software operated by Kothari IT Services Private Limited.

What this page covers

Kothari IT Services Private Limited (“KIT”) operates business software: web products, internal systems run for business clients, and mobile apps. This page is the company-level process for requesting deletion of your data or your account from any of them, including apps that reference this URL from an app store or platform listing. It works together with our Privacy Policy.

How to submit a request

Email info@kothariit.com with the subject line Data deletion request and include:

  • Which product or app your request concerns (its name, and the organization you use it with, if any).
  • The account identifier you use in it: the email address, phone number, or username you sign in with.
  • What you want deleted: your whole account, or specific data (tell us which).

A request without a product name and account identifier cannot be located, so those two are the minimum.

How we verify identity

We act only on requests we can verify. In practice that means the request must come from the email address or phone number registered on the account, or you must be able to confirm control of it when we reply. For accounts that belong to a business (see “client-controlled data” below) we may also need authorization from that business before acting. We do not delete data on the strength of an unverifiable request.

Deactivation versus deletion

Where a product supports it, an account can first be deactivated: sign-in is disabled and the account leaves active use, but records remain. Deletion goes further and removes the data itself. If you ask for deletion we do deletion; we mention deactivation because for accounts tied to ongoing business records it is sometimes what people actually want, and you can ask for it explicitly.

What can be deleted, and what may be retained

On a verified request we delete, from the systems KIT controls:

  • Your account and sign-in credentials.
  • Your profile and contact details.
  • Personal data that is not bound by a retention obligation.

Some data may lawfully need to be retained, in whole or in part:

  • Records required by statutory, tax, accounting, payroll, or audit obligations, for the period the law prescribes.
  • Security and audit logs kept to protect the system and its other users.
  • Business records that belong to a client organization rather than to an individual user (an invoice does not disappear because the person who typed it left).
  • Data in routine backups, which is not individually erasable but cycles out as backups expire.

We do not promise instant or total erasure across every product. What we promise is honest handling: we tell you what was deleted, and if something must be retained, we tell you what and why.

Client-controlled data

Many KIT-operated systems are run on behalf of business clients. If your account exists because your employer or a business you deal with uses such a system, that organization controls the data in it and decides on deletion. Send your request to them first; if it reaches us directly, we will route it to the right controller, support them in fulfilling it, and tell you where it went.

Third-party integrations

Where a product integrates with a third-party platform, deletion from KIT's systems does not remove copies held by that platform. A WhatsApp message, for example, also exists on Meta's systems and on the other party's device, under Meta's own policies. We delete what is in the systems we control and can point you to the right third-party process for the rest.

How requests are handled

A person reads every request; nothing here is automated away. We acknowledge deletion requests within two working days. Verified requests are completed as soon as practicable, normally within thirty days; where verification, a client authorization, or a legal hold extends that, we tell you the reason and the expected timeline. When the request is complete, you get a confirmation stating what was deleted and what, if anything, was retained and why.
